Welcome to Car Rental in India, operated by Club Travels. These Terms and Conditions apply to customers using our car rental services with a professional driver in India.

By confirming a booking with us, you agree to the terms outlined below. Please read them carefully before making a reservation.

1. Booking and Payment Policy

All bookings are subject to vehicle and driver availability.
Customers must provide accurate travel dates, pickup and drop-off locations, passenger details, and itinerary information.
A booking is confirmed once we accept the reservation and receive any advance payment required under the agreed booking terms.
Advance payments, balance payments, and payment deadlines will be communicated before booking confirmation.
Customers must pay the agreed amount within the specified timeframe.
Any applicable payment processing fees or foreign currency conversion charges will be communicated where relevant.
The final price will depend on the vehicle category, travel route, duration, and services included in the confirmed quotation.

2. Cancellation and Refund Policy

Customers should submit cancellation requests in writing through email or the agreed communication channel.
Cancellation charges and refund eligibility will depend on the cancellation terms communicated and accepted at the time of booking.
Advance payments may be non-refundable where this condition has been clearly communicated and accepted before payment.
No-show bookings, late cancellations, or cancellations after services have commenced may be subject to charges under the agreed booking policy.
If a customer ends a journey early, refunds for unused services will depend on the agreed booking terms and any costs already incurred.
Bookings involving third-party services may be subject to separate cancellation and refund policies.
If we need to cancel a confirmed booking, we will inform the customer and explain the available options under the booking agreement.

Please check the cancellation conditions provided with your quotation before confirming your reservation.

3. Vehicle Rental and Usage Policy

All vehicles are provided with a professional driver. We do not offer self-drive car rentals.
Customers must use the service for lawful travel purposes and follow applicable Indian laws and regulations.
The number of passengers must not exceed the vehicle's permitted seating capacity.
Customers must not request the driver to engage in unsafe driving or violate traffic regulations.
Smoking and the consumption of alcohol inside the vehicle are prohibited unless expressly permitted by applicable law and our vehicle policy.
Customers must treat the driver and vehicle respectfully throughout the journey.
We reserve the right to refuse or discontinue a service where reasonably necessary because of unlawful conduct, threats to safety, or serious misuse of the vehicle, subject to applicable law and the booking terms.

4. Fuel, Tolls, Parking and Additional Charges

The quotation or booking confirmation will specify which expenses are included in the rental price.
Fuel, tolls, parking fees, interstate permits, taxes, and other route-related charges will be handled according to the agreed quotation.
Any additional kilometres, extended hours, extra stops, or itinerary changes may incur additional charges.
Driver accommodation and meals on overnight journeys will be included or charged separately as stated in the booking confirmation.
Customers should clarify any exclusions before confirming their booking.
Any additional charges arising during the journey should be communicated clearly where reasonably practicable.

5. Vehicle Damage and Customer Responsibility

We make reasonable efforts to provide clean, roadworthy, and properly maintained vehicles.
Customers may be held responsible for damage to the vehicle caused by their intentional actions, negligence, or misuse, subject to applicable law.
Customers should inform us promptly if they notice any damage or safety issue during the journey.
In the event of an accident or emergency, the driver and customers should prioritize safety and contact the appropriate authorities where necessary.
Any applicable compensation or recovery of costs will be assessed according to the circumstances, the booking agreement, and applicable law.

Customers are not automatically responsible for ordinary vehicle wear and tear or damage caused by circumstances for which they are not legally liable.

6. Pickup, Drop-Off and Waiting Time

Customers should provide accurate pickup and drop-off details when making a reservation.
Customers are expected to be ready at the agreed pickup time.
Any complimentary waiting time, airport waiting arrangements, and additional waiting charges will be communicated during booking.
Late pickups, extended waiting periods, additional stops, or changes to the agreed itinerary may affect the total cost.
Customers should inform us as early as possible if their flight, train, or arrival time changes.

7. Booking Extensions and Itinerary Changes

Extensions to the rental duration are subject to vehicle and driver availability.
Customers should request changes as early as possible.
Additional charges may apply for extended hours, additional days, extra distance, or changes to the agreed route.
We may need to modify a journey because of traffic conditions, road closures, weather, safety concerns, or legal requirements.
Any significant change in price or service arrangements will be communicated where reasonably practicable.

8. Driver and Passenger Safety

Our vehicles are operated by professional drivers who must follow applicable road safety and transport regulations.
Customers must follow reasonable safety instructions provided by the driver.
Seat belts must be used wherever fitted and required by law.
Customers must not distract the driver or request unsafe driving practices.
Driver working hours and rest periods must comply with applicable regulations.
We reserve the right to delay or adjust a journey when necessary to protect passenger safety or comply with the law.

9. Luggage and Personal Belongings

Customers should inform us about the number of passengers and the amount of luggage before selecting a vehicle.
Luggage must fit safely within the available storage space.
Additional vehicles or a different vehicle category may be required if the confirmed vehicle cannot accommodate the actual passenger or luggage requirements.
Customers are responsible for checking their belongings before leaving the vehicle.
We will make reasonable efforts to assist customers who report lost property, but we cannot guarantee recovery of unattended belongings.

10. Delays and Unforeseen Circumstances

Travel conditions in India may be affected by traffic, weather, road closures, public events, vehicle breakdowns, government restrictions, or other unforeseen circumstances.

We will make reasonable efforts to minimize disruption and assist customers when delays occur. However, exact travel times and arrival times cannot always be guaranteed.

Customers should allow sufficient time for airport transfers, train connections, international flights, and other scheduled activities.

Where circumstances beyond our reasonable control prevent us from providing the agreed service, we will communicate with the customer and discuss suitable alternatives under the booking terms.

11. Limitation of Liability

We aim to provide reliable transportation services and take reasonable steps to maintain service quality and passenger safety.

To the extent permitted by applicable law, we are not liable for delays, losses, or interruptions caused by circumstances beyond our reasonable control.

We are not responsible for the independent actions or failures of third-party providers except to the extent required by applicable law or expressly agreed in writing.

Nothing in these Terms and Conditions excludes or limits any liability that cannot legally be excluded or limited under applicable law.

12. Website Information and Pricing

We make reasonable efforts to keep the information on our website accurate and current. However, vehicle images, service descriptions, sample itineraries, and indicative prices may change.

The final service details, inclusions, exclusions, and charges will be governed by the quotation and booking confirmation accepted by the customer.

13. Privacy Policy

We may collect personal information, including names, contact details, travel dates, pickup locations, and booking information, to respond to enquiries and arrange our services.

We handle personal information in accordance with our Privacy Policy and applicable data protection laws.

These Terms and Conditions are governed by the laws of India, subject to applicable legal requirements.

Any dispute should first be addressed through good-faith communication between the customer and Club Travels. If the dispute cannot be resolved amicably, it may be referred to the appropriate court or dispute-resolution body with jurisdiction under applicable law.
